WHAT DO WE DO WITH YOUR PERSONAL DATA?

At The ladder club, we want to help state educated students get the most out of their time at university through organising upskilling workshops, events with employers and socials. We also want to support state educated professionals throughout their career, as well as supporting them to support state educated students, whilst ensuring that we maintain an inclusive environment. We use your personal data to help us organise the sort of activities that you like to come to, and to keep you informed about those activities, as well as ensuring that our outreach and activities reach those who need it most. We can do this because we have a legitimate interest in knowing who is participating in our activities and in being able to share with them details of our activities (including any changes) and related activities.


Additional optional information we only keep and use with your consent. We rely on consent as a legal basis for marketing/fundraising communications which fall outside our core programme activity.

For members who attend workshops with employers: we may disclose your personal information to the relevant employer for the purposes of enabling them to facilitate the workshop according to your needs. 

The ladder club Foundation operates at a number of university campuses across the UK through student societies. We collect your data from the student societies to ensure that we are able to run our programmes for as wide a range of individuals as possible at a national level and tell you about our events in our national newsletter. We may also disclose your personal information to 

For our employer partners and its volunteers, we will process your personal information in order to fulfil our obligations related to such contracts and agreements with commercial partners and suppliers. 

WHY DO WE COLLECT THIS DATA?

To understand our membership, to offer places on our national programmes, to offer you opportunities, to undertake research and evaluation on our impact, to speak to sponsors about our membership base, to review your career progression and to offer you support. For donors, we collet your data for information giving and promotional purposes, and to undertake evaluation about our work.


WHAT TYPE OF PERSONAL DATA DO WE COLLECT?

Members

We collect your name, employment details .We may also collect special category data (as defined by applicable data protection laws) from you. This includes information about your ethnic origin.

Website users

When you visit our website, we (and our service providers) may use cookies and other technologies to automatically collect the following information:

  • Technical information, including your IP address, your login information, browser type and version, device identifier, location and time zone setting, browser plug-in types and versions, operating system and platform, page response times and download errors;

You can tell us that you no longer wish us to use your data in this way and, if you do, we must stop using it as soon as is reasonably practical.

    Within The ladder club, access to your personal information is restricted to certain members of operational team on a need-to know basis or as required by law. We share your data for specific reasons only, mainly related to delivering and carrying out research into our programmes.

We may share your personal information with the following third party organisations:

    • Infrastructure and IT service providers;

    • Academic institutions or similar to enable The ladder club to conduct research to improve our programmes and/or for the public interest

WHEN DO WE COLLECT PERSONAL DATA ABOUT YOU?

We collect information directly from you when:

  • you are engaging with, participating in, supporting or volunteering in our national and local events;

  • you become a member of The ladder club;

  • engaging with third party sources (receiving emergency contact details, public sources or social networks).

HOW LONG DO WE KEEP YOUR PERSONAL DATA?

We will only retain your personal data for as long as it is necessary for the purpose for which that data was collected and to the extent permitted by applicable laws. When we no longer need to use your information, we will remove it from our systems and records and / or take steps to promptly anonymise it so that you can no longer be identified from it (unless we need to keep your information to comply with legal or regulatory obligations to which we are subject).

In all cases, our need to use your personal information will be reassessed on a regular basis, and information which is no longer required for any purposes will be disposed of safely.

We do not transfer your personal data to other countries.

You are under no legal obligation to give us your personal data if you do not wish to. The ladder club founder is responsible for the management of data (from collection through to disposal). 

We have implemented technical and organisational security measures in an effort to safeguard personal information in our custody and control. Such measures we have implemented include, limiting access to personal information only to volunteers and authorised service providers who need to know such information for the purposes set out in this Privacy Notice, as well as other technical, administrative and physical safeguards.

While we endeavour to always protect our systems, sites, operations and information against unauthorised access, use, modification and disclosure, due to the inherent nature of the internet as an open global communications vehicle and other risk factors, we cannot guarantee that any information, during transmission or while stored on our systems, will be absolutely safe from intrusion by others, such as hackers.
